How we handle your data.

Plain language, no jargon. We collect only what we need, we never sell it, and you can ask us to delete it any time.

Who we are

SmartScale, based in County Louth, Ireland. We decide how and why your details are used, which makes us the "controller" under data protection law. Contact us at info@smartscale.ie.

What we collect, and why

  • Enquiry form. Your name, email and message. We use it to reply to you and to talk about possible work. Legal basis: taking steps at your request before a contract, and our legitimate interest in answering enquiries.
  • Systems Check. The questions run in your browser. Nothing is sent to us unless you choose to send your results. If you do, we receive your name, email, your answers and your result, so we can talk through them with you. Legal basis: your consent.
  • Email signups (free process check, lunch and learn, updates, kits). Your email and what you signed up for. We email you only about what you picked. Legal basis: your consent. You can withdraw it at any time.
  • Lunch and learn. The sessions run on Zoom. If you join, Zoom handles your name and connection details under its own privacy terms.
  • If you become a client. Contact details, what we agreed, quotes and invoices. Legal basis: carrying out our contract and meeting our legal and tax duties.
  • Website visits. We use Cloudflare Web Analytics to see which pages are read and where visitors come from. It does not use cookies and does not follow you from site to site. Our host also keeps basic server logs, such as IP addresses, for security and to keep the site running. Legal basis: our legitimate interest in running a secure site that works.

We never ask for card details on this site.

Who handles your data

We use a small number of providers to run the site and the service. They act on our instructions:

  • Netlify, which hosts the website and stores form submissions.
  • Cloudflare, for website analytics.
  • Our email provider, for sending you emails.
  • Zoom, for lunch and learn sessions.

We never sell your details or share them for anyone else's marketing. We may share them if the law requires it. If we work with a specialist on a client project, we tell you first.

Outside the EU

Some of these providers are based outside the EU, including in the United States. Where they handle your data, they must protect it in line with EU data protection law, using safeguards such as standard contractual clauses or approved transfer frameworks.

How long we keep it

  • Enquiries: up to 24 months after our last contact, then deleted.
  • Email signups: until you unsubscribe. We also remove anyone who has not opened our emails for 12 months.
  • Systems Check results you send us: up to 12 months, unless you become a client.
  • Client records, quotes and invoices: 6 years, because tax law requires it.
  • Analytics: summary figures only, with no personal profiles.

Emails from us

Every update or lunch and learn email has an unsubscribe link, and you can also reply to ask us to stop. If you only signed up for a one-off thing, such as a free check, we will not add you to anything else.

Cookies and similar technology

This site does not use cookies. It saves one temporary note in your browser for the length of your visit, so that the opening animation only plays once. It is erased when you close the tab. Our analytics does not use cookies or local storage, so there is no cookie banner.

Your rights

You can ask us to show you the details we hold, correct them, delete them, restrict how we use them, give you a copy in a usable format, or stop using them for marketing. If we rely on your consent, you can withdraw it at any time.

Email info@smartscale.ie. We act on deletion requests straight away, and always within one month.

If you want to complain

Talk to us first and we will put it right. You can also complain to the Data Protection Commission, Ireland's data protection regulator, at dataprotection.ie.
